How to register for the PAYDI SmartPOS services?

To register for the PAYDI SmartPOS services, businesses/stores should follow these steps:

Step 1: Choose one of the following three methods:

  • Business Registration Certificate – 1 scanned copy/photo.
  • Legal representative identification documents (ID card, Passport) – 1 scanned copy/photo.
  • Tax code registration certificate (for business households) – 1 scanned copy/photo.
  • Images of the business location – 3 photos from 3 angles showing the address and business products/services.

Step 3: The business will wait for the profile review and sign the contract.

Step 4: Receive and install the terminal (PAYDI staff will come to the business location to install the terminal, hand over the contract, provide instructions on using the device, guide on document storage, risk identification, and payment management).

How long does the profile evaluation and registration approval take?

The time for the profile evaluation and registration approval process includes the following steps:

  • Profile evaluation: 1 day (if approved, proceed to #2).
  • PAYDI sends the Service Supply Contract: 1 day.
  • PAYDI receives the signed Contract from the Business.
  • PAYDI issues Terminal identification code (TID): 1 day.
  • PAYDI installs the Terminal and provides usage instructions at the business loation: 1 day.

 

How long does it take to install the terminal after completing the registration process?

Businesses/stores can be ready to use PAYDI’s services within 3-5 working days from the completion date of the registration process.

How can I check transaction information?

Businesses can view and check transaction history through the following channels:

  1. Email: PAYDI sends transaction daily reports from the email address: no-reply.baoco@paydi.vn to the business’s registered email.
  2. Merchant Portal: PAYDI provides businesses with login accounts to the Merchant Portal (with a website interface), which offers comprehensive information about transactions conducted on the SmartPOS terminal, including:
      • Detailed transaction reports, settled transactions, and summarized settled transactions.
      • Refund transactions: creating refunds and a list of refunded transactions.
      • Agent/affiliate information, branch information, and POS terminal information at each business location.
      • Electronic invoices: invoices for payment/cancellation/settlement transactions.

 

When will the money be settled to the business account?

PAYDI provides twice settlements per day to the business as follows:

  • Batch 1: If settlement is made after 15:00 yesterday (T-1) to before 8:00 today (T0), the credit will be from 11:00 to 15:00 on the same day.
  • Batch 2: If settlement is made from 8:00 to 15:00, the credit will be from 18:00 to 23:00 on the same day.
  • If the transaction, settlement, reconciliation, service fees, etc., fall on Saturdays, Sundays, holidays, both parties will carry out reconciliation/settlement/credit reporting on the first working day after the weekends/holidays.

 

How is the reconciliation of the credited amount to the account with the revenue performed?

PAYDI provides detailed information to businesses through the following two channels:

  • Via the registered email of the business.
  • Through PAYDI’s Merchant Portal. With the Merchant Portal accessible through a website interface, businesses can easily monitor, check, process, and analyze transactions filtered by each business location, card type, time, and more, based on the system’s advanced transaction management functionality.

 

Will there be any consequences if forgetting to settle at the end of the shift/day?

If the settlement is forgotten at the end of the shift/day, the business can perform the settlement on the next shift/day. The unsettled transaction amount will be included in the next successful settlement day.

Businesses should ideally perform settlement at least by the end of each day (within 24 hours from when the transaction was made).

PAYDI reserves the right to refuse payments for transactions that have not been settled within the specified timeframe.

How can chain stores check and analyze transactions at each location?"

PAYDI provides detailed information to businesses through the following two channels:

What types of cards do PAYDI's terminal accept payments from?

The PAYDI SmartPOS terminal accepts payments from all types of credit and debit cards, as well as all kinds of cards (magnetic stripe, chip, contactless) issued both domestically and internationally, with a very competitive Merchant Discount Rate (MDR).

Which types of QR codes does the PAYDI terminal accept payments from?

The PAYDI SmartPOS terminal accepts payments from all types of QR codes, including e-wallets (Momo, ZaloPay, …), Mobile Banking Apps from all banks, with very competitive fees.

How to verify that the payer is the cardholder?

Some identification methods are as follows:

  1. Request the payer to sign the invoice and compare it with the signature on the back of the card to ensure the payer is the cardholder.
  2. If there is no signature on the back of the card, ask the payer to present identification documents to prove that he/she is the cardholder, then request the cardholder to sign on the signature strip before making the payment.
  3. For high-value transactions, before making the payment, check the physical condition of the card, such as:
    • The card information must be consistent and entirely embossed or indented (card number, cardholder name, and expiration date).

    • Check the condition of the identification label (hologram): it should not be peeled or show any signs of altered 3D images as specified by the card issuer.

    • The cardholder’s signature on the signature strip.

    • Verify the name of the issuing bank. For cards issued by foreign banks, special attention should be given: transactions should not be split; if a transaction encounters an error, it should be immediately checked with PAYDI’s customer service staff; the transaction should not be repeatedly attempted.
What is the Key-in function (MOTO payment)?

MOTO (Mail Order/Telephone Order): It is a form of placing orders, bookings, or pre-ordering services, etc., between the Cardholder/OTA and the Merchant. After agreeing on the goods, services, and the amount to be paid, the Cardholder/OTA will provide the Merchant with card information to process the payment (card number, expiration date, CVV2).

Upon receiving the card information, the Merchant will perform a Key-in (manually entering the card information into the payment terminal) to process the transaction.

Which types of businesses have the Key-in/MOTO function enabled?

Currently, PAYDI only provides the Key-in (MOTO) function for the hotel/accommodation industry.

What are the conditions for being granted the Key-in (MOTO) function?

Due to the manual entry (Key-in) of card information, which may increase the risk of fraud, the granting of the Key-in/MOTO function always comes with specific conditions and security measures (which will be detailedly instructed by PAYDI staff to enable businesses to proactively manage risks).

This function is available for hotels/accommodations with a minimum of 3-star scale (certified) and must implement a risk guarantee deposit (the deposit amount varies based on the level, value, and frequency of related transactions).

How long does the evaluation and approval process for the Key-in/MOTO function registration take?

The evaluation and approval process for the Key-in/MOTO function registration with PAYDI is fast and convenient:

  • For large hotels/hotel chains from 4 to 5 stars: 1 day, no deposit required.
  • For 3-star hotels/hotel chains: 1 day, with a deposit requirement.

 

Does changing the business registration certificate require re-registration? What are the procedures involved?

In both of the following cases, please contact the dedicated business care staff of your enterprise/store, whose name and phone number are displayed on the smartPOS terminal, to receive support, advice, and document exchange.

  1. If there are changes in other information of the Business Registration Certificate (such as re-registration, change of address, charter capital, etc.), the enterprise/store should provide PAYDI with the new Business Registration Certificate and notify the changes to the Partner Information (in original copies, using the enterprise’s template or should request PAYDI’s template).
  2. If the Business Registration Certificate’s number and/or the legal representative change: The enterprise/store must follow the procedure as of signing a new contract and submit the accompanying documents as follows:
    • Business Registration Certificate – 1 scanned copy/photo.
    • Legal representative identification documents (ID card, Passport) – 1 scanned copy/photo.
    • Tax code registration certificate (for business households) – 1 scanned copy/photo.
    • Images of the business location – 3 photos from 3 angles showing the address and business products/services.

 

Opening more store(s) and wanting to install additional terminal(s), what should I do?

The business/store needs to sign an Annex (part of the Service Supply Contract), provides photos/scans of the Business Registration Certificate, pictures of the signboard, and products sold at the new selling point/branch where you want to install the additional terminal(s).
